Gator Bio is a pre-IPO biotech firm based in Palo Alto, California, dedicated to simplifying biological analysis through our innovative Biolayer Interferometry instruments and biosensors. We are looking for a Trade Show Coordinator to join us on a contract basis to help elevate our brand presence and support our marketing and sales goals at industry events.
Responsibilities
- Oversee the full lifecycle of trade show logistics, from booth setup and marketing material preparation to managing attendee schedules.
- Handle all show-specific orders, including electrical, carpeting, freight shipping, and lead retrieval services.
- Manage our virtual booth presence to ensure online inquiries are directed to the right team members for lead generation.
- Coordinate the physical logistics of event materials, including loading and unloading pallets and operating pallet jacks safely.
- Maintain an accurate inventory of promotional items and marketing collateral using Monday.com.
- Collaborate with external vendors to produce high-quality event materials that reflect our brand.
- Lead pre-show preparations, including organizing team meetings, ensuring consistent brand messaging, and coordinating logistics with sales and creative departments.
Must-haves
- Two to three years of experience in event coordination, ideally within the biotech or life sciences sector.
- Strong project management and organizational skills.
- Proficiency in Microsoft Office and event management software.
- Excellent verbal and written communication skills in English.
- Ability to work independently and adapt to changing priorities.
- Capacity to lift, push, or pull up to 50 lbs.
- Willingness to complete a pre-employment physical upon receiving a job offer.
