We are currently looking to add a Production Coordinator to our creative team. In this remote, full-time role based in Canada, you will report to the Associate Creative Director and work closely with strategists, designers, video editors, and content creators to turn concepts into polished performance assets. The position calls for someone who can manage a high volume of creative work, keep every project on schedule, and maintain rigorous standards for quality, compliance, and brand consistency.
Key outcomes
- Build and maintain a vetted roster of creators, actors, photographers, videographers, and production assistants, complete with rate cards, availability, and areas of specialty.
- Develop weekly project plans and daily schedules that guide every creative deliverable from initial concept through final launch.
- Negotiate rates, prepare statements of work, and track purchase orders and invoices to keep all productions within approved budgets.
- Source locations, props, and wardrobe as needed, and oversee production days when required.
- Convert creative briefs into detailed shot lists, call sheets, timelines, and deliverable checklists.
- Brief and coordinate content creators, actors, photographers, videographers, editors, and designers while sustaining productive working relationships.
- Conduct post-shoot feedback sessions to identify improvements and ensure consistency across all assets.
- Secure usage rights, model releases, and compliance documentation before any production begins.
- Confirm that final deliverables meet the brief, follow brand guidelines, satisfy ad-platform specifications, and adhere to regulatory requirements.
- Perform first-level quality control, flag pacing or visual issues, and coordinate rapid revisions with editors and creators.
Requirements
- Three to five years of experience in creative project management, production, or operations.
- Demonstrated success improving creative workflows within a growth-stage organization.
- Strong organizational skills and the ability to manage multiple concurrent creative requests from diverse stakeholders.
- Excellent project-management and communication abilities.
- Strict adherence to industry regulations and legal standards.
- Self-starter mindset with the capacity to balance competing priorities in a fast-paced setting.
- Attention to detail and a continuous-improvement approach to production processes.
- Empathetic, collaborative outlook and genuine interest in healthcare innovation.
- Professional fluency in English.
Preferred qualifications
- Direct experience in performance marketing.
