We are seeking a proactive and organized professional with a strong people-oriented mindset to join our growing team as a Sales & Marketing Assistant. The Sales & Marketing Assistant plays a vital role in supporting the Sales and Marketing team in achieving business objectives. This position involves a mix of administrative, organizational, external events and customer-facing tasks to ensure smooth operations and enhanced customer experience.

Optics11 is a world leader in fiber optic sensing technology for ultra-sensitive early warning systems. From our base in the Netherlands – a global hub for high-tech innovation and maritime expertise – we are on a mission to make the world safer by protecting critical infrastructure such as sea-lanes, offshore energy assets and subsea cables from disruption. Optics11 recently closed a €17 million investment round.

Responsibilities:

Communication & Coordination

• Monitor and manage the sales inbox, ensuring timely and professional responses to customer inquiries.
  In time be able to qualify incoming leads.

• Liaise with internal departments and external stakeholders to coordinate sales and marketing activities.

Travel & Event Organization

• Organize and coordinate travel arrangements for team members, including accommodations and transportation.

• Plan and manage logistics for events, such as conferences, trade shows, and client meetings.

• Represent the company at events when required,  Providing first time contact with new customers.

• Data processing post events.

CRM System Management

• Maintain and update the Customer Relationship Management (CRM) system, ensuring accurate and up-to-date customer information.

• Generate and prepare regular sales and marketing reports for internal review.

• Be the super admin of the CRM, ensuring that the stages of the process are fit for purpose.

Sales & Marketing Support

• Assist in the development and execution of marketing campaigns and sales initiatives.

• Create and maintain sales and marketing materials, such as brochures, presentations, and promotional content.

The role will require occasional travel for events and conferences.

Requirements:

• You have at least an HBO-level education.

• At least 3 years of experience in a similar supporting role.

• Strong organizational and multitasking skills.

• Excellent proficiency in English, both written and spoken.

• Professional working proficiency in Dutch is an advantage.

• Proficiency in CRM tools and Microsoft Office Suite.

• Basic knowledge of digital marketing tools (e.g. social media platforms, email marketing tools).

• Experience in a fast-paced, technical environment with strong attention to detail.

• Facilitative, supportive, and solution-oriented mindset.

• Enthusiastic, flexible, and resilient under pressure.

• Ability to set priorities effectively and adapt to changing needs.

• Team player who enjoys supporting and collaborating with others.
