About the role

We’re looking for a new Office Manager in Berlin to support with a broad range of daily tasks that span from day to day management of the Berlin office to helping with planning events & activities for the team.

This position is central for the success of our Berlin office. The office in Berlin will host an international team of both MUBI and The Match Factory colleagues. We pride ourselves in providing a peaceful and positive work environment and look forward to welcoming you.

You will focus on:

• Maintaining our Berlin office space: keeping them tidy and clean, finding a home for miscellaneous items, looking after deliveries and arranging necessary repairs

• Liaising with facility management vendors, including cleaning and security services

• Supporting managers and teams with travel arrangements

• Supporting with basic IT, e.g. our device management platform

• Helping to onboard new joiners and making them feel welcome

• Planning off-site activities, such as conferences and internal events

• Maintain accurate and up-to-date records in our database

• Organize and maintain digital archives across Google Drive and Dropbox platforms

What you will bring:

• Proven experience as an Office Manager or Administrative Assistant, or other relevant work experience

• Excellent time management skills and ability to multitask, as well as prioritize work

• Attention to detail and problem solving skills

• Basic or higher written and verbal communication skills in German and English

• Strong organizational and planning skills in a fast-paced environment

• Ability to remain calm and focused under pressure

• Proactive attitude and confident working independently

• Take satisfaction in streamlining processes and enhancing efficiency to support colleagues in their work
