We are looking for a Senior Office Coordinator to join our team in Montreal on a full-time, on-site basis to help maintain the vibrant, creative environments that define our company.
Responsibilities
- Manage daily office operations, including maintaining kitchen and office supplies, tracking budgets, and processing invoices.
- Oversee the functionality of office equipment and ensure supply areas remain organized.
- Coordinate meeting room setups, schedule appointments, and assist with catering for internal and client events.
- Support the onboarding process for new hires by preparing welcome materials.
- Serve as the primary point of contact at reception, greeting visitors and managing incoming calls with a professional demeanor.
- Handle mail distribution and maintain accurate records of staff locations.
- Translate documentation between French and English as required.
- Actively participate in the social committee to help organize team-building events and foster a welcoming office culture.
- Provide general administrative support to various departments to ensure smooth business operations.
Must-haves
- Fluency in both French and English is essential for communicating with our teams and clients across Canada.
- Proven experience in an administrative or receptionist role.
- Strong proficiency in MS Office, specifically Excel, Word, Outlook, and Teams.
- Demonstrated ability to multitask, solve problems efficiently, and stay organized in a fast-paced environment.
- A background in customer service with excellent verbal and written communication skills.
- Experience working with SharePoint.
Nice-to-haves
- Prior experience working with the Yardi software platform.
