As an Executive Assistant to the Chief Marketing Officer, General Counsel, and Head of Product, you will be a key member of Metropolis’ administrative team, supporting three critical leaders to drive efficiency and results. In this role, you will provide high-level administrative support, manage complex calendars, coordinate travel, and facilitate seamless communication across teams. You will also play an integral role in organizing meetings, tracking priorities, and supporting key initiatives within the Marketing, Legal, and Product organizations.
Responsibilities
- Provide executive support to the Chief Marketing Officer, General Counsel, and Head of Product, ensuring their time is optimized and priorities are well-managed.
- Own calendar management, including scheduling, coordinating, and confirming meetings, travel, and key appointments with internal and external stakeholders.
- Develop a deep understanding of each executive’s priorities, working styles, and business objectives to effectively manage schedules and anticipate needs.
- Facilitate communication by providing regular updates on schedules, key priorities, and action items to stakeholders.
- Partner with the administrative team to establish and maintain operating cadences at the leadership and department levels.
- Coordinate travel logistics, including flights, hotels, transportation, and expense management, ensuring alignment with schedules and company policies.
- Support and project manage critical initiatives, such as team events, off-sites, board meetings, presentations, and internal/external correspondence.
- Prepare executives for meetings by gathering and distributing materials, conducting relevant research, and taking detailed notes.
- Handle administrative tasks, including document management, expense reporting, invoice processing, and ensuring smooth day-to-day operations.
- Maintain strict confidentiality and discretion in handling sensitive information and executive discussions.
- Represent Metropolis professionally and courteously in all interactions, both internally and externally.
Qualifications
- At least four years of experience supporting multiple executives in a fast-paced, high-growth environment.
- Exceptional verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Proven ability to prioritize tasks and manage time efficiently in a dynamic environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Highly proficient in Microsoft Office Suite and Google Workspace, with the ability to learn new tools and systems quickly.
