Event Marketing Coordinator

Triumvirate Environmental, one of the largest environmental services firms in North America, is seeking an Event Marketing Coordinator for our Marketing team.

This position reports to the Director of Marketing. This role is a hybrid and is based in the Somerville, MA office. 

Responsibilities:

Planning

• Research, identify, and recommend events relevant to Triumvirate’s business goals.
• Secure event sponsorships and negotiate agreements with event organizers.
• Maintain an annual events calendar to ensure deadlines and deliverables are met.
• Track and manage the events budget, ensuring alignment with company goals.
• Maintain detailed records of event plans, vendor contracts, and shipping logistics.
• Promote event participation via email and social media.
• Coordinate and lead prep meetings to align internal stakeholders on event expectations.
• Build and maintain relationships with event organizers, vendors, and service providers.

Material Preparation

• Collaborate with internal teams to create marketing materials, presentations, and giveaways for events.
• Oversee the design, printing, and inventory of promotional items and event collateral.

Logistics Management

• Coordinate shipping of booth materials, promotional items, and other necessary supplies to event venues.
• Ensure on-time delivery and accurate setup of booth displays and materials.

Post-Event Analysis

• Collect and evaluate event metrics, such as leads generated, attendee engagement, and ROI.
• Prepare post-event reports and recommend improvements for future events.

Basic Requirements:

• Event planning or trade show logistics experience
• Demonstrated ability to manage multiple projects at the same time and meet deadlines
• Highly organized, self-motivated, detail-oriented, and solution-driven
• Excellent communication and interpersonal skills
• Proficient in the use of PowerPoint, Word, and Excel
• Willingness to travel as required for events
• Bachelor’s degree
• Must be eligible to work in the United States without future sponsorship
• Must have a reliable form of transportation

Preferred Requirements:

• Experience with Adobe Creative Cloud
• Familiarity with B2B social media strategies
• Knowledge of marketing automation software
