The opportunity
As a Client Support Coordinator, you will serve as the primary connection point between our clients and the Octave system. You will be a vital member of our Operations Support Team, acting as an advocate for those seeking care. Your role is to ensure that every person who reaches out to us feels heard, informed, and prepared for their journey toward better mental health. By managing communications and guiding new clients through our onboarding process, you will play a direct role in delivering the compassionate, high-quality care that defines our practice.
A day in the life
- You will manage and respond to incoming client inquiries across phone, email, and chat platforms, ensuring every interaction is warm, efficient, and aligned with our service standards.
- You will act as a knowledgeable resource for client education, helping individuals understand our services and assisting them with the necessary paperwork and billing setup to begin their care.
- You will collaborate with your teammates to identify and implement process improvements, constantly looking for innovative ways to make our operations smoother and more effective.
Who you are
You are a detail-oriented professional who thrives in a fast-paced environment and possesses a genuine desire to help others. You bring a strong background in administrative work and customer service, and you are comfortable navigating multiple software systems simultaneously to keep tasks organized. You communicate clearly in English, both in writing and verbally, and you approach sensitive situations with the discretion and care they require. Most importantly, you are a proactive team player who is eager to learn, grow, and contribute to a mission-driven organization.

Depending on your location, the hourly pay ranges from $25.00 to $26.49, $27.50 to $29.13, or $30.48 per hour.
